Privacy notice
This notice explains how we handle information you choose to send when enquiring about a family or house-history project concerning Wales, Britain, Ireland or Poland.
Who is responsible?
Marcin Dudziak, trading as MD FlowDesk, based in North Wales, UK. For privacy questions or to exercise your rights, email mdflowdesk@gmail.com.
What information do we receive?
This website has no enquiry form or customer account. If you email us, we receive your email address, name if you give it, and whatever you choose to include in your message. Please do not send sensitive information about living people, copies of identity documents or family photographs in your first enquiry.
Why do we use it?
We use enquiry messages to answer questions, check whether a proposed project is feasible and discuss its scope. Our lawful basis is usually taking steps at your request before entering a contract. For basic administration, record-keeping and preventing duplicate communications, we may rely on our legitimate interests in running the service. If you later commission research involving living people, we will agree what information is necessary and address any additional legal requirements before receiving it.
Who can access it?
We use Gmail, provided by Google, to receive and store messages. We do not sell enquiry details or add enquirers to a mailing list without an appropriate basis. We may need to share information with a third-party archive or researcher for a commissioned project, but only after explaining the need and agreeing the arrangements with you. An email service may involve processing outside the UK under applicable transfer safeguards.
How long is information kept?
We intend to review enquiries that do not lead to a project and delete them normally within six months, unless there is a genuine need to keep correspondence longer, such as an unresolved dispute. If you become a client, a separate retention period may apply for contracted work and records required by law.
Your rights
Depending on the circumstances, you may ask to access, correct or erase your information, restrict or object to its processing, or obtain a copy. Contact us at the address above. You can also complain to the Information Commissioner's Office (ICO).
Cookies and tracking
The site files supplied by MD FlowDesk do not set tracking cookies, collect analytics or run advertising scripts. If this site is later hosted on another platform, that provider may have its own technical logs or cookies; we will review this notice before publishing on such a platform.
This notice describes the intended operation of the pilot. The business owner should check actual email retention, hosting and service arrangements before publishing it.
